Zoom screen sharing on Mac: the settings worth changing
Zoom gives you real control over what it captures, and almost none over what macOS puts on screen. Get both halves right and screen sharing stops being nerve-wracking.
Share a window, not the desktop
When you click Share Screen, Zoom shows every display and every open window. Picking a single window means that window is all anyone sees, even if you switch apps in front of it. It is the strongest privacy control Zoom has, and it is one click away from the default.
- Click Share Screen in the meeting toolbar.
- Choose the specific application window rather than Desktop 1.
- Tick Share sound only if you are playing audio — it captures system audio otherwise.
The trade-off: anything you open in a different window is invisible to viewers, which confuses people if you forget you are in window mode. Say so out loud when you switch.
Zoom's own settings worth a look
- Silence system notifications while sharing — in Zoom's Share Screen settings. Useful, but it does not cover everything, so still use Do Not Disturb.
- Enter full screen when a participant shares — turn this off if you like keeping notes visible while someone else presents.
- Show green border around shared content — worth turning on. It is the clearest live reminder of what is actually being shared.
- Screen capture mode — if sharing looks black or laggy on Apple silicon, switch this between Automatic and Legacy in Zoom's advanced share settings.
What Zoom cannot do for you
Zoom cannot hide your desktop icons, your Dock, your desktop widgets or the Stage Manager strip. Those are macOS, and when you share a whole display they are all in frame. The macOS side is where the actual leaks happen — see what people actually see for the full list.
Nor can Zoom, or any app, turn on Do Not Disturb for you. macOS reserves that. Set it in Control Center before you join.
Presenting from a laptop with an external display
This is where most Zoom mistakes actually happen. Share Screen lists your displays as Desktop 1 and Desktop 2, with no obvious clue as to which is the laptop and which is the monitor. Pick wrong and you share whichever screen you are not looking at, which is usually the one with everything else on it.
Two habits fix it. Drag the window you intend to present onto one display and share that specific window, sidestepping the guess entirely. Or, before you pick, glance at the thumbnails Zoom shows for each desktop — they are small but they are live, and they are enough to tell which is which.
Note also that hiding the Dock only hides it on the display it currently occupies, and the Dock follows your pointer between displays. If you are sharing a full screen, keep your pointer on the shared display so the Dock does not slide into frame mid-sentence.
Permissions, when sharing simply does not work
If Zoom shares a black rectangle, macOS has not granted it recording permission.
- Open System Settings → Privacy & Security → Screen & System Audio Recording.
- Turn on zoom.us.
- Quit Zoom fully and reopen it — the permission does not apply to a running copy.

Can Zoom hide my desktop icons?
No. Zoom controls what it captures, not what macOS draws. Hide desktop icons at the system level before you share the whole screen.
Why is my Zoom screen share black?
Almost always missing permission. Enable zoom.us under Privacy & Security → Screen & System Audio Recording, then fully quit and reopen Zoom.
Does Zoom's notification silencing replace Do Not Disturb?
Not entirely. It helps, but Do Not Disturb is the reliable option and covers apps Zoom's setting does not.
Can people see my other windows if I share one window?
No. Only the chosen window is transmitted, even when you click into something else in front of it.
Does sharing sound share everything I play?
Yes, it captures system audio, so notification sounds and other apps are included while it is on.
